Department Quick Reference Guide
Complete the Short-Term Position Request (STPR) to request authorization to fill the position and document the duties, qualifications, schedule, funding, and business need.
Submit one request per position. Multiple employees performing the same assignment can be included in one request.
Who: Supervisor → Budget Administrator → VP/VC/President/Designee → Financial Services/District Budget → HR
The request routes automatically for review and approval. Once HR approves it, record the STPR number from Section 5. You will need it for Step 3.
The approved position request is valid through June 30 of the applicable fiscal year.
Use the STPR number from Step 2 and select the appropriate toolkit:
- Short-Term New Hire: for someone who has never worked for the District.
- Short-Term Personnel Transaction Request: for someone employed by the District within the last six months
Toolkit Notes
- The Short-Term New Hire packet includes the personnel transaction request, employee pre-employment checklist, and employment forms. The employee completes the designated sections.
- Rehire: Submit the personnel transaction request to extend or renew the assignment.
Toolkit Routing
- New hire: Supervisor → Budget Administrator → Financial Services/District Budget → VP/VC/President/Designee → Employee → HR.
- Rehire: Supervisor → Budget Administrator → Financial Services/District Budget → VP/VC/President/Designee → HR.
HR reviews the completed packet and processes the hiring transaction.
Quick Reminders
- Always complete Step 1 first. The STPR must be approved by HR before proceeding to the hiring packet.
- Have the STPR number ready when starting Step 3.
- New hires must complete all required pre-employment documentation before HR can finalize processing.
- Check the assignment end date. It defaults to June 30 unless another date is specified.
